Privacy Policy

Springwater Taekwondo is a non-profit community club based in Sheffield. This notice explains what personal information we collect through this website, why we collect it, how long we keep it and what rights you have. We have written it in plain English rather than legal language.
Who we are

What we collect when you enquire
Our enquiry forms ask for:
- Your name — so we know who we are replying to.
- Your email address — so we can reply.
- Your phone number — optional on some forms, so we can call you back if that is easier.
- The age or age range of the prospective student — so we can tell you whether our classes are suitable and answer your questions properly.
- Previous martial arts experience and any message you write.
We also record the moment the form was loaded and a hidden anti-spam field. These are used only to filter out automated spam submissions. We do not store your IP address.
Why we are allowed to use it
We rely on legitimate interests: you have asked us about joining a Taekwondo club, and we need your details to answer you. We do not use enquiry details for marketing, we do not add you to a mailing list, and we never sell or share your information with anyone for their own purposes.
Enquiries about children
Our classes are open from age 9 upwards, so many enquiries concern a child. If you are enquiring about someone under 18, please submit the form yourself as their parent or guardian rather than asking the child to do it. We only ask for a child's age or age range — never their name, school, address or photograph — and we use it solely to advise you on suitability.
Where your enquiry goes
When you submit a form, it is passed through an automated spam filter and then delivered to a private channel that only the club's instructors and officers can see. That channel is hosted by Discord, a service based in the United States. Your name, contact details and message are visible to our instructor team there so that someone can reply to you.
If you would prefer not to have your enquiry handled this way, please email us directly at the address above instead of using the form.
If you message us on Facebook
You can contact us through Facebook Messenger instead of the form. If you do, your message is held by Meta under their own privacy policy, not ours, and is visible to the instructors who administer our Facebook page. We would only ever ask you there for what we need to answer your question. If you would prefer Meta not to hold your enquiry, please use the form or email us directly.
How long we keep it
We keep enquiries for up to 6 months and then delete them. If you join the club, your details are then held as part of your membership and licensing record with our governing body (see “Membership and insurance” below). If you ask us to delete your enquiry sooner, we will.
Website analytics
We use a self-hosted installation of Umami to count page views and see which pages are useful. Umami does not use tracking cookies, does not follow you across other websites, and does not build a profile of you. We can see that a page was visited; we cannot see who visited it.
Cookies and local storage
This site does not use advertising or tracking cookies.
- If you use the belt grading checklists, your ticked boxes are saved in your own browser's local storage so your progress is still there next time. That information never leaves your device and we cannot see it. Clearing your browser data removes it.
- We record in your browser that you have already been shown our free-trial reminder, so that you are not shown it repeatedly. This is stored on your device only.
Other services this site loads
- Google Fonts supplies the typefaces used across the site.
- Google Maps is embedded on our contact page so you can find the venue.
When your browser loads these, Google receives your IP address as part of that request. If you would rather avoid this, most browsers and privacy extensions can block third-party content.
Membership and insurance
If you go on to join the club, your membership and licence are administered through the British Martial Arts & Boxing Association (BMABA), who insure our instructors and students. BMABA's own privacy policy is available on our policies and documents page. Our safeguarding, photo and media, and complaints policies are on that page too.
Your rights
Under UK data protection law you can ask us to:
- show you what information we hold about you;
- correct anything that is wrong;
- delete your information;
- stop using it, or restrict how we use it;
- provide it in a portable format.
Email wk.springwatertaekwondo@gmail.com and we will respond within one month. There is no charge.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this notice
If we change how we handle personal information we will update this page and change the date at the top.
